Privacy Policy

1. Who we are

Sohi Technology Pvt Ltd (“Sohi Technology”, “we”, “our”, “us”) is a private limited company registered in India, with its headquarters at SCO No. 64, Second Floor, Sector 125, New Sunny Enclave, Kharar, Mohali, Punjab 140301, India. You can reach us at admin@sohitechnology.com or +91 90116 66688.

2. What this policy covers

This policy explains what personal data we collect when you (a) visit our marketing site, (b) submit an inquiry, (c) use our products as a customer or as an employee of a customer, and (d) communicate with our support team. It does not cover websites operated by our channel partners — they have their own policies.

3. Data we collect

  • Inquiry form data. Your name, email, phone, company, city, country, product of interest, and any message you write. We use this only to respond to your inquiry. It is stored in our CRM and accessible only to authorised employees.
  • Account data (customers). When your organisation buys a Sohi product, we store the names, emails and roles of users your administrator creates. We do not sell this data.
  • Operational data (customers). Attendance events, schedules, location pings (for field-engineer apps where enabled), gym memberships, productivity events, etc. — whatever the product needs to function. The customer organisation is the data controller; we are the processor.
  • Technical data. IP address, browser type, OS, pages visited, referrer, and timestamps. We use this for security (rate limiting, abuse detection) and to keep the site fast.
  • Cookies. A small number of strictly-necessary cookies for authentication and CSRF protection. We do not use third-party analytics or advertising trackers on our marketing site.

4. Why we use your data

  • Respond to your sales / support inquiries.
  • Provide and maintain the products you've licensed.
  • Detect, prevent and respond to security incidents.
  • Comply with legal obligations (tax, accounting, lawful requests).

5. Legal basis

Where the GDPR or analogous laws apply, we process personal data under the following legal bases: (i) contract (delivering the product you've licensed), (ii) legitimate interest (responding to your inquiry; protecting our systems), (iii) consent (where given for any optional processing), (iv) legal obligation.

6. Sharing

We don't sell personal data. We share it only with:

  • Sub-processors who help us run the product (e.g. cloud hosting, transactional email, SMS gateway). A current list is available on request to admin@sohitechnology.com.
  • Channel partners, only when you've come to us through one of them.
  • Authorities, when legally compelled.

7. International transfers

Our primary servers are in India. Cloud regions in the EU, Saudi Arabia and Singapore are available for customers who require local residency. Cross-border transfers use standard contractual clauses where required.

8. Retention

Inquiry data is retained for up to 24 months after the last interaction (or longer if you become a customer). Operational data is retained for the term of the customer contract plus the regulatory minimum (typically 5–7 years for attendance / payroll records).

9. Your rights

Depending on where you live, you may have rights to access, correct, delete, port, or restrict the processing of your personal data — and to object or withdraw consent. Email admin@sohitechnology.com with the subject line “Privacy request” and we'll respond within 30 days.

10. Security

We use TLS for all traffic, AES-256 at rest, role-based access controls, and an audit log on every privileged action. We undergo periodic third-party security review.

11. Children

Our products are not intended for individuals under 13 (or the applicable age of digital consent in your jurisdiction). We don't knowingly collect data from children.

12. Changes

If we make material changes to this policy, we'll notify you via email (for customers) or by a banner on this page. The latest version is always at sohitechnology.com/privacy.
